We’re excited to have you join us at the Hawaii Sustainability Expo & Electric Home Show at the Neal S. Blaisdell Exhibition Hall! Please review the important logistics below to ensure a smooth load-in and successful event. 

You will also receive an email from the show decorator, International Convention Services, shortly. 

πŸ“ EVENT DETAILS

Weekend Expo Attendee Hours:

  • Saturday April 25, and Sunday April 26, 10 AM - 5 PM

🚚 LOAD-IN & ARRIVAL

Load-In Time β€” You may load in at either times:

  • Friday April 24 between 2 PM and 5 PM

  • Saturday April 25 morning, 7 AM to 10 AM’

Setup Deadline: All booths must be fully set by 10 AM Saturday 

All vendors must enter from the designated vendor entrance off King Street.

  • Follow the route indicated below - β€œAll Vendors Enter Here” in the photo below. 

  • Proceed to the Main Vendor Load-In Zone

  • Oversize vehicles (U-Hauls, trucks) should use the Bay Door / Oversize Load-In area

  • Short-term parking is available for unloading only

🚨 Important: This is a load-in only zone β€” vehicles must be moved immediately after unloading.

You'll be entering through those doors on Saturday AM, and we'll get you stamped for the show so you can come and go. 

If you have co-workers arriving later, just send us a list of names, and we'll add them to the VIP list and have them check in with us at the main entrance.

πŸ…ΏοΈ PARKING

After unloading, please park in designated areas:

  • Move your vehicle into the parking structure after load-in

  • Follow posted signage for exhibitor parking in the main garage, unless assigned otherwise. 

  • Do NOT park in the areas marked on the map as:

    • "No-parking" zones

    • Concert Hall–only parking areas

    • Marked decorator/storage/dumpster zones

Drive an EV? You may park your EV in our EV showcase inside the expo hall! This is free parking, front row - you can park your car and unload right there. You'll be able to leave your vehicle there until the show is over at 5 PM each day, at which point someone will guide you out. Keep in mind, however, if there's a crowd, you might not be able to drive out until it dissipates, for safety reasons.

If you want to do this, fill out this survey, indicate which company you're with, and we'll get your spot assigned, and a sign made up for you. Pure EVs only, please. 

πŸ“¦ BOOTH SETUP

  • Booth Size & Add-ons are on your contract. If you are unclear whether you have a table and chairs, electricity, etc., contact Danielle (danielle@cleantechnica.com) and she will look it up for you. If you haven't gotten a table, chairs, or electricity, yet and want to, you may do so directly through ICS - they will be in touch soon. 

  • Please bring signage, and any additional materials you need

  • Keep all displays within your assigned booth footprint

Pro tip from Al and Ivan at Island Cooling - wheely carts are limited. We have rented all of the the Blaisdell's wheely carts for our exhibitors to use. There are 8 of these. Bring your own, if you can, or be prepared to wait a bit. Please don't arrive at 9:45 and expect a free wheely cart and a 5 minute setup. :) 

πŸ”Œ WIFI

  • WiFi is notoriously spotty in the Blaisdell - though reception is great inside so most vendors use hotspots. If you absolutely want it, we do have dedicated IP addresses. The cost is $30 for the weekend, through Tech in the City, who has set them up for us. 

πŸ”₯ COOKING & FOOD DEMOS (IMPORTANT)

If you are planning to cook or provide food samples, you must follow Blaisdell Center policies:

  • No cooking indoors unless pre-approved

  • All cooking must be approved in advance by the venue

  • Indoor cooking: electric appliances only (no open flame)

  • Outdoor cooking: propane allowed with safety requirements (HFD approval required)

  • Strictly prohibited indoors:

    • Charcoal grills

    • Deep fryers

    • Open flames or heavy smoke equipment

Additional requirements:

  • Fire extinguishers required (ABC + Class K where applicable)

  • Propane tanks must be secured and properly distanced

  • Vendors must carry a Certificate of Insurance (COI) naming the City & County of Honolulu, Blaisdell Center, and CleanTechnica, Inc. as additionally insured.

  • DOH special event permits are also required. 

 πŸš¨ Non-compliance may result in immediate shutdown.

βš™οΈ SETUP & BREAKDOWN RULES

  • No early breakdown β€” booths must remain open until the show officially closes at 5 PM on Sunday, though you may prep your booth for an easy exit at 5

  • Breakdown begins: 5 PM 

  • Move-out must be completed by: 7 PM

  • Please leave your space clean and remove all materials

🀝 CODE OF CONDUCT

All exhibitors are expected to:

  • Be respectful and professional with attendees and fellow vendors

  • Avoid aggressive or disruptive sales tactics

  • Stay within your assigned space while actively engaging with attendees

  • Follow all venue safety and event guidelines

πŸ”’ SECURITY & LIABILITY

  • Overnight security will be present Saturday evening, but please do not leave valuables unattended

  • Exhibitors are responsible for their own equipment and materials

🎟️ COMPLIMENTARY TICKETS

Tomorrow, we will be sending you each 30 complimentary tickets to the show. These may be given out at your discretion, including posting to your social media channels as a gift to your followers. People will just have to print the ticket and present it at the door for free entry. 

πŸ—ΊοΈ EXPO MAP

Here it is! We have a really comprehensive set of offerings to help Hawaii residents save money on electric and gas bills and to shift their purchases into more eco-friendly options. 

If you're looking for breaks between talking to show attendees, you may proceed to the bike zone to see Leo or Mitch at Bike Factory and go for a spin on an ebike, One Wheel, or a variety of other fun toys in the Bike, E-Bike & Micromobility Fun Zone


If you want to test drive some EVs, simply head over to the Hawaii Electric Vehicle Association booth to sign a waiver and get a wristband, then you may proceed outside to the Galleria parking area on the Ward side to test drive one of a half dozen lightning fast electric vehicles brought by Honolulu VW, Honolulu GMC, Aloha Kia and more. Bring your driver's license if you plan to drive! 

The keiki room will have some tables, chairs, and some safe, non-toxic toys. The stage speakers will be pointed at the stadium seating in front of it as well as the food court, but please don't hesitate to let us know if it gets too loud. 

πŸ§˜β€β™€οΈ WELLNESS BREAKS

The wellness room is an add-on to the show experience. For an additional $20, attendees of the show may participate in any or all of the classes offered through our "Weekend of Wellness". You can see the full lineup of classes here. There will be Yoloha cork yoga mats available for rent for $2 a piece, but if you plan to take a break and get your wellness on, plan accordingly and dress for the class you're looking at. It'll be mostly vinyasa 1, breath work, meditation, and other more 'gentle' wellness sessions - until the ecstatic dance begins at 4 PM on Sunday. :) 


Weekend of Wellness tickets will be available at the front desk by the Entrance, and at the door of the Wellness room. 

🌺 OPENING BLESSING

Saturday morning, April 25, we will have an opening blessing outside the main entrance between 9:30 - 10 AM. Please join us if you can. You can go out the main entrance doors - our team will give you a stamp for re-entry at that point.  

πŸ›οΈ SWAG BAG INSERTS

One last thing - if you're interested in putting some coupons, flyers, or other paper inserts into our swag bags, you can print materials for us - we have 2500 bags to give out, so up to that many prints, anything 5x7 or smaller, is welcome. If you're interested, here is a link to pay on Stripe. You can deliver them anytime, even the morning of the show before doors open, and our team will insert them into the bags.
